Access to the system cockpit is restricted to designated users — including the ability to manage what other users can see and do, which is the starting point of your security setup. The administration cockpit is where your compliance logic lives. Manage your inbound, outbound, and internal SKUs, define your certificate types and substances, and build the bills of materials that connect them — so every item carries exactly the evidence it requires.

A key part of the setup is defining how your certificate types behave and what substances your products may contain. The administration cockpit gives you the tools to:

  • Set validity periods and expiry alerts for each certificate type
  • Define whether a substance declaration is required
  • Build and curate your own substance database

Component cockpit

The component cockpit is where your supplier compliance comes to life. Request, register, and review compliance evidence from your suppliers, and get a clear, real-time view of compliance status across suppliers, items, and batches. Depending on your settings, the review process can follow a 4 or 6 eyes principle, ensuring the right level of oversight for your organisation. Comments and labels can be added to each certificate document to flag gaps, signal urgency, or guide the next step. A personal action board keeps every user focused on what needs their attention.

Component Cockpit — Vendor's Items

CertExtract is CertCare's AI-powered extraction feature. When a certificate document is received, CertExtract automatically reads the file and pre-fills the File Details form — giving users a head start on registration without manual data entry. Once the file is connected to the relevant items or batches during the mapping process, CertExtract goes further: it pre-selects the identified scope and, where required, adds the declared substances. At both stages, users can review, adjust, and approve before anything is confirmed, keeping full control in human hands. For teams handling large volumes of documents, the time saved can be significant.

Product cockpit

The product cockpit is where your outbound compliance comes together — everything you need to review your internal certificates and produce the documentation your clients expect. Completed documents can be downloaded and shared as a PDF attachment, or distributed via a public link that leads directly to the certificate. Beyond outbound compliance, it also gives you a live view of your entire bill of materials — so you can see at a glance where your compliance stands, from the finished product all the way down to the last purchased component.

Document generation is fully in your hands. You define the templates that determine what is compiled and how the final document looks — giving you control over the output your clients receive. Where needed, substance declarations and geographical traceability information can be aggregated across your entire bill of materials, giving a complete and transparent picture of your supply chain. The final document can only be generated once all prerequisite certificates have been reviewed and approved, ensuring that nothing leaves your organisation before it is ready.
